Secretary Today reader Anne F. phoned me on the Monday morning helpline to ask for help writing a warning to an employee. The points she wanted to cover were:
- The employee’s last four reports were completed late, causing problems keeping promises to customers. They almost lost one contract because of this.
- The employee had been warned verbally about possible consequences after the third report was handed in late.
- If any more reports are handed in late, the employee could be fired.
- The employee had previously always handed in reports on time.
- Anne’s boss wants to keep his eye on the employee, and would also like to offer help.
This is what Jean Lennox wrote for Anne.
Dear Mr Miller:
Reprimand regarding late reports
We notice that your last four progress reports on the … program were completed after the deadline. I spoke to you about this on December 9, 2011. We need to get your reports on time so we can meet our contractual agreements with our clients. In fact, we almost lost the XYZ follow-up contract due to a late report from you.
In the past, you always met your deadlines. I hope you can get back into that habit.
I am sorry to tell you that if you hand in one more report late, we will have to place you on probationary status. If a report is late while you are on probation, we will be forced to terminate your employment.
Until further notice I expect an update on the project from you every Friday afternoon. Let me know if there is anything I can do to assist you in completing your reports on time.
