Your boss is expecting visitors from China, Japan or Southeast Asia. There are going to be important negotiations. As a secretary or PA you can do a lot to make the talks go well by making the visitors feel welcome and relaxed.
This is how you welcome them:
- Smile, look the person in the eye and bow your head slightly, saying ‘Pleased to meet you’.
- Do not offer your hand, wait until the visitor offers his or her hand.
- Always address people by their titles, Dr, Professor, Director and so on.
If you arrange the room for the negotiation, make sure the most important person is seated at the middle of the table, facing the door. When you are making small talk, be aware that the Chinese, Japanese and Southeast Asians rarely show irritation. This means that you might feel you are getting on very well with someone, when in fact they do not like the questions you are asking. So keep any questions or comments general.
